Frequently Asked Questions (FAQ)

1. Is ACH 2027 only for professional herpetologists and researchers?

No. ACH 2027 is open to everyone with an interest in amphibians and reptiles. You do not need to be a professional herpetologist or academic researcher. Students, conservationists, wildlife professionals, educators, breeders, photographers, nature guides, healthcare specialists, government representatives, NGOs, industry professionals, and anyone interested in herpetology are welcome to participate.

2. Can participants from outside Asia attend ACH 2027?

Yes. ACH 2027 welcomes participants from anywhere in the world. Although the Congress focuses particularly on Asian herpetology and strengthening collaboration across Asia, researchers, professionals, students, and other interested participants from outside Asia are warmly encouraged to attend and contribute.

3. Do I need to present research to attend ACH 2027 OR can I attend without submitting an abstract?

Yes, you can attend without submitting or presenting an abstract. ACH 2027 offers Visitor registration packages for participants who wish to attend scientific sessions, meet colleagues, network, and participate in eligible Congress activities without giving a presentation.

4. What is the official language of ACH 2027?

The official language of ACH 2027 is English. However, presenters may choose to deliver their presentation in their native language. In this case, the scientific presentation must be limited to 10 minutes, followed by a 5-minute English interpretation/summary delivered by an English-speaking person arranged by the presenter. Presenters choosing this option are responsible for identifying an appropriate English-speaking registered participant who can provide the interpretation.

5. What name should I enter when registering?

Please enter your academic/professional name—the name you normally use for academic, research, publication, or professional purposes. This name may be used on your Congress badge/ID, certificates, abstract records, scientific program, and other official ACH documents, so please check the spelling carefully before submitting your registration.

6. Can I change my registration package after selecting it?

Yes. You may change your selected registration package at any time before completing payment. Once payment has been completed, package changes may be subject to ACH registration policies and should be discussed with the Congress Secretariat.

7. When should I pay my registration fee?

You may complete your registration payment at any time before the Congress, subject to registration availability and applicable deadlines. However, we strongly recommend completing payment as early as possible, because ACH 2027 has a maximum capacity of 1,000 registered participants. Your place is not secured until the required payment has been completed.

8. How do I know whether my registration is confirmed?

Once your registration and required payment have been successfully completed, you will receive an email confirmation. Please keep this confirmation for your records.

9. Can I register another person using my account?

No. Every participant must create and use their own ACH account. Each account is linked to the participant's personal information, ACH ID, registration, abstracts, certificates, payments, and other Congress services. Please do not use your account to register another participant.

10. Can accompanying family members or partners attend the Congress?

Yes. Family members, partners, friends, and other accompanying persons are welcome. Several Visitor registration packages are available for people who wish to attend ACH 2027 without presenting an abstract. Please select the most appropriate option under the Visitor registration category.

11. Are registration fees refundable or transferable?

Once paid, registration fees are non-refundable. However, a paid registration may be transferred to another eligible participant up to three months before the Congress. Please contact the ACH Congress Secretariat to request a registration transfer.

12. Can I obtain an official invoice or receipt for my payment?

Yes. An official invoice/receipt will be generated automatically when your payment is successfully completed.

13. In which currency are ACH payments processed?

Prices may be displayed in USD for international reference, but all ACH payments are processed and settled in Indonesian Rupiah (IDR). The applicable IDR amount will be shown during the payment process.

14. Do I need to pay before submitting my abstract?

No. You do not need to pay before submitting an abstract. Presenters should submit their abstract first and wait for the scientific review and acceptance decision before completing the required registration payment. Participants attending as Visitors without submitting an abstract may complete their registration and payment at any time, subject to availability.

15. Is there an official ACH abstract template?

Yes. All abstracts must be prepared using the official ACH 2027 Abstract Template. Please visit the Abstract Submission Guidelines page to download the template and review the formatting and submission requirements before preparing your abstract.

16. How can I submit more than one abstract?

The number of abstracts you can submit depends on your selected registration package, as each presenter package has a different abstract-submission limit. First, select a package that allows more than one abstract and follow the normal submission process to submit your first abstract. After your first abstract has been submitted, you can submit another abstract in either of the following ways:

  • Click “Account” at the top of the website to access your participant dashboard, then go to “My Abstracts” and submit your next abstract; or
  • Click “Register” at the top of the website, then select the “My Abstracts” button to access your abstract dashboard.

You may repeat this process until you reach the maximum number of abstracts permitted under your selected registration package.

17. Can I submit multiple abstracts to different symposium themes?

Yes. If your selected registration package permits multiple abstract submissions, you may submit abstracts to different symposium themes. Each abstract should be submitted separately and assigned to the symposium theme that best matches its subject.

18. Can I edit/withdraw my abstract after submission?

Yes, but only before your abstract has been processed for scientific review. You may edit/withdraw your submitted abstract while it remains available for editing in your account. Once the ACH administration has forwarded the abstract for review, editing/withdrawing will be temporarily disabled. If the reviewers request revisions, you will be able to revise and resubmit the abstract according to the review decision and instructions provided.

19. Can I change the presenting author after submission?

Yes. The presenting author may be changed where necessary. However, the new presenting author must have their own ACH account and must already be registered at least under an eligible Visitor registration category before the presenting-author change can be processed. Please contact the ACH Congress Secretariat if you need to change the presenting author.

20. Does ACH 2027 provide accommodation for participants?

Yes. Accommodation is included in selected ACH registration packages. Participants using ACH-arranged accommodation will stay at The Alana Yogyakarta Hotel & Convention Center or designated official ACH hotels, according to their registration package, room availability, and accommodation arrangements. ACH accommodation is generally arranged in Deluxe Rooms, according to the conditions of the selected registration package or Add-On Service.

Please check the Registration Packages page for the exact accommodation benefits and number of nights included with each package. Participants whose packages do not include accommodation may also book additional hotel nights separately through Add-On Services, subject to availability.

21. Can two participants share one hotel room? Can I choose the person with whom I want to share my room?

Yes. Where the selected package or accommodation arrangement permits room sharing, two participants may share a room. An accompanying person participating in ACH should have their own appropriate Visitor - Companion registration where required. During registration or accommodation booking, enter the ACH Participant ID of the person with whom you wish to share your room. Where possible, both participants should provide each other's ACH Participant ID so that the Secretariat can correctly match the request. When you do not have a preferred room-sharing partner, you may select “No preference.” Where shared accommodation applies, the ACH Secretariat may assign a suitable room-sharing partner according to the accommodation arrangements and available information.

22. Can I request a smoking or non-smoking room?

Yes. You may indicate your Smoking / Non-Smoking Room preference during booking. Requests will be forwarded to the hotel but remain subject to room availability.

23. Can I book additional nights before or after the Congress?

Yes. Additional accommodation nights may be booked through Add-On Services, subject to room availability. The accommodation Add-On fee applies per room, per night. If you need multiple nights, increase the quantity/number of items accordingly at checkout. Each additional accommodation night includes a Deluxe Room with breakfast for up to two guests per room.

24. Should I book individual additional nights or choose a package with accommodation?

If you require accommodation for four or more nights covering the Congress period, we recommend choosing a registration package that already includes accommodation, as this will generally provide better value than purchasing individual nights through Add-On Services.

25. Can I change my hotel or room after accommodation has been assigned?

Requests may be submitted to the Congress Secretariat, but changes are subject to availability and hotel arrangements and cannot be guaranteed.
