Abstract Submission Guidelines

Important Submission Principle

For participants submitting abstracts, ACH uses the following general process:

Create Account → Select Package → Submit Abstract(s) → Scientific Review → Abstract Acceptance → Payment → Registration Confirmation → Add-On Services → ACH 2027

For participants attending without submitting an abstract:

Create Account → Select Package → Select Add-On Services (if required) → Payment → Registration Confirmation


Abstract Preparation Guidelines

General Requirements

  • All abstracts must be submitted in English.

  • The presenting author must ensure that all co-authors are aware of the abstract content and have agreed to its submission to ACH 2027.

  • Each abstract must represent original scientific work or a scientifically relevant synthesis appropriate to the scope of the Congress.

  • The subject of the abstract must fall within one of the ACH Core Symposium Themes, approved Special Symposia, or another area relevant to amphibian and reptile research, conservation, education, health, technology, or associated disciplines.

  • Authors should select the most appropriate symposium during submission. The Scientific Committee reserves the right to reassign an accepted abstract to another symposium where this improves the scientific coherence of the program.

Abstract Content

The abstract must contain:

  • Title

  • Author name(s)

  • Affiliation(s)

  • Email address of the presenting/corresponding author

  • Abstract text

The abstract text should be presented as one continuous paragraph and should briefly and clearly communicate:

  1. the scientific background and rationale for the study;

  2. the principal objective, research question, or hypothesis;

  3. the major materials and methods used;

  4. the principal results or findings; and

  5. the major conclusion, significance, or implications of the findings.

Abstracts describing completed research should contain actual results. Statements such as “results will be presented” without reporting substantive findings are discouraged and may affect the evaluation of the abstract.

Word Limit

The main abstract text must not exceed 300 words.

The title, author names, affiliations, keywords, and email addresses are not included in the 300-word limit.

Document Format

All abstracts must be prepared using the official ACH 2027 Abstract Template.

The document must be:

  • A4 page size;

  • single-column format;

  • 1-inch (2.54 cm) margins;

  • Times New Roman;

  • 11-point font;

  • double-spaced;

  • prepared in Microsoft Word; and

  • submitted as a .DOC or .DOCX file.

Authors should not substantially alter the formatting of the official template.

Title

The title should be concise and informative and should accurately represent the subject of the study.

Scientific names must be italicized where appropriate.

Avoid unnecessary abbreviations in the title.

Authors & Affiliations

  • Authors should use their professional/academic names consistently.

  • Institutional affiliations should be written in full and should include the institution, city, and country.

  • The presenting author must be clearly identified with underline.

  • A valid email address must be provided.

Keywords

Provide 3–5 keywords that appropriately represent the study.

Avoid repeating words already obvious from the title wherever possible.


Presentation Policy

ACH is committed to maximizing opportunities for researchers—particularly students and early-career scientists—to communicate their work.

Every accepted abstract will be offered an opportunity to present orally while oral presentation capacity remains available.

Oral presentations are therefore the primary presentation format at ACH 2027.

Poster sessions are not planned as part of the initial scientific program. However, if all available oral presentation slots become fully allocated because of exceptionally high numbers of accepted abstracts, the Scientific Committee may activate a Poster Session for additional accepted contributions.

Authors will be informed if such an arrangement becomes necessary.

The Scientific Committee reserves the right to determine the final symposium, session, presentation date, presentation time, and presentation format according to scientific relevance and program capacity.


Number of Abstracts

The maximum number of abstracts that may be submitted by an individual participant depends on the selected ACH registration package:

  • Economy Package: maximum 1 abstract

  • Standard Package: maximum 2 abstracts

  • Congress Stay Package: maximum 3 abstracts

  • Luxury Package: maximum 4 abstracts

  • Platinum Package: maximum 4 abstracts

  • Companion Package: abstract submission not allowed

Each abstract must be submitted as a separate DOC/DOCX file.

The participant submitting an abstract must normally be the presenting author.


Abstract Review

All submitted abstracts will undergo scientific review by the ACH Scientific Committee and/or designated reviewers.

Abstracts will be evaluated according to relevance to ACH and the selected symposium; scientific quality; clarity of objectives; appropriateness of methodology; quality and significance of results; validity of conclusions; originality or scientific contribution; and clarity of presentation.

Following review, an abstract may be Accepted / Accepted subject to revision / Reassigned to another symposium theme / Rejected

Submission of an abstract does not guarantee acceptance.

The decision of the ACH Scientific Committee regarding inclusion in the scientific program will be final.


Important Dates

Abstract Submission Deadline: 31 December 2026

Notification of Abstract Decision: within 2 weeks from the abstract submission

Deadline for Registration Payment Following Acceptance: 30 days

Abstracts submitted after the announced deadline may not be considered unless the Congress officially extends the submission period.

Registration & Abstract Submission Procedure

Step 1 — Create Your ACH Account

Before registering or submitting an abstract, participants must create an account through the ACH 2027 website using a valid and active email address.

Important Congress communications—including abstract decisions, payment information, certificates, and program notifications—will be sent to the registered email address.

Each participant should create only one personal ACH account.


Step 2 — Enter Your Professional/Academic Name Carefully

During account creation, participants must enter their name exactly as they wish it to appear on official ACH documents.

The registered name may subsequently appear on:

  • Congress ID card/delegate badge;

  • certificates;

  • scientific program;

  • abstract records;

  • payment documents; and

  • other official Congress materials.

Participants are therefore strongly advised to use their correct professional or academic name and verify spelling carefully before continuing.

Do not use nicknames or informal names unless these form part of your established professional identity.


Step 3 — Select Your Registration Package

After creating an account, select the registration package that best matches your required facilities and abstract-submission needs.

Available registration categories include:

Economy Package
Standard Package
Congress Stay Package
Luxury Package
Platinum Package
Companion Package

Each package provides different benefits and different abstract-submission limits.

Participants intending to submit multiple abstracts should select their package accordingly.


Step 4 — Submit Your Abstract(s)

After selecting an eligible registration package, the abstract-submission function will become available according to the package selected.

Upload each abstract individually as a DOC/DOCX file prepared using the official ACH Abstract Template.

The system will permit a maximum of:

  • Economy — 1 file

  • Standard — 2 files

  • Congress Stay — 3 files

  • Luxury — 4 files

  • Platinum — 4 files

  • Companion — no abstract upload

For each abstract, participants will also be required to select the most appropriate Core Symposium Theme or Special Symposium and provide any additional information requested by the submission system.

Participants should carefully verify all information before completing submission.


Step 5 — Scientific Review

Once submitted, the abstract will enter the ACH scientific-review process.

Participants can monitor the status of their submission through their ACH account Dashboard and/or will receive notification by email.

You are not allowed to make payment for an abstract-based registration until the abstract decision is issued, unless specifically instructed otherwise by the Congress Secretariat.


Step 6 — Receive the Abstract Decision

The presenting author will receive notification when the Scientific Committee has completed its review.

If the abstract is accepted, the participant may proceed to complete registration and payment.

Where revisions are requested, the revised abstract must be submitted within the period specified in the decision notification.


Step 7 — Confirm Registration & Make Payment

Following abstract acceptance, the participant must proceed to payment through the ACH registration system within the specified payment period.

Registration is considered confirmed only after the required payment has been successfully completed and recorded by the system.

Failure to complete payment within the specified period may result in the abstract being removed from the final scientific program.


Step 8 — Select Optional Add-On Services

During the payment/registration process, participants may also select available ACH add-on programs and services, subject to availability.

These may include:

  • Pre-Congress Workshops;

  • Asian Herpetology Summer School;

  • Gala Dinner;

  • additional accommodation;

  • Post-Congress Biodiversity Expeditions; and

  • other optional activities announced by ACH.

Many add-on programs have strict participant limits and may automatically close once their maximum paid capacity has been reached.


Registration Without Abstract Submission

Participants are not required to submit an abstract to attend ACH 2027.

Visitors, students, researchers, institutional representatives, accompanying participants, and other interested persons who wish to attend without presenting scientific work may create an ACH account, select an appropriate registration package, and proceed directly to payment.

Participants without an abstract (visitors) may select an applicable Economy, Standard, or Companion Package, depending on the facilities and services they require.

Early payment is recommended because registration categories, accommodation, workshops, excursions, and other services may be subject to capacity limitations.


Responsibility of the Participant

It is the responsibility of each participant to ensure that account information is accurate; their professional/academic name is entered correctly; a valid email address is used; abstracts comply with the official template and submission requirements; all co-authors have approved the submission; the correct registration package is selected; required revisions are completed on time; and payment is completed within the applicable deadline.

Incorrect information entered by participants may appear on badges, certificates, abstract records, and other official Congress materials.
